SERVICE DEPARTMENT COORDINATOR
The Service Coordinator is responsible for moderately complex planning, coordinating, controlling, and directing activities of operational resources. They are also responsible for customer interaction, communicating with the Field Technician Supervisors, and coordinating jobs with Project Managers.
RESPONSIBILITIES

Coordinates service resources;

Assigns team members to project;
-
Schedules personnel, materials, sub-contractors and equipment based on project needs, skill sets, and availability;

Inputs project location to system;
-
Generates Work Order Documents, dispatches technicians, and notifies customers;
-
Responsible for customer interaction/satisfaction;
-
Maintains customer satisfaction by investigating concerns, routing them to the assigned staff, and responding to special requests;
-
Debrief service technicians after completion of each call;
-
Respond to all messages left overnight;
-
Maintain the dispatch board/schedule;
-
Forecast workload 2-3 days out;
-
Contact customers with “parts pending” status as parts are received for scheduling;

Follow up on all pending and recommended work with customer;
-
Maintain the maintenance agreements, including scheduling and staging of materials, database information;
-
Order parts as needed;
-
Update customer files as information is received from installations (extended warranties, equipment info, new customers);
-
Assist with service contract proposals for new customers;
-
Maintain customer history files in database;
-
Prepare paperwork for all manufacture warranty parts;
-
Update service database from service tickets;
-
Compare service timecards and work orders to service schedule;
-
Other duties as assigned;

Flexibility to work overtime/weekends, as required.
QUALIFICATIONS
-
High school diploma or equivalent required; associate degree preferred.
-
2+ years of administrative, dispatch, or service coordination experience.

Experience in HVAC, mechanical contracting, or construction services preferred.

Proficiency in service management software and Microsoft Office.
